Instructions for the preparation and publication of Geograph articles displaying images shortlisted for POTY for the current year

The following instructions have been prepared in the hope that it will be possible to maintain the annual publication of Geograph articles which display all images shortlisted for the Geograph/Photo of the Year (GOTY/POTY) competition. The process has been largely automated but still requires a significant amount of manual intervention. A basic understanding of Microsoft Excel is required to successfully oversee the process.

The series of articles comprises annual galleries (AG) with titles of the general form Images shortlisted for POTY, yyyy and a parent article (PA) entitled Images shortlisted for GOTY and POTY which records the history of the project and links to the annual galleries and all-time leaderboards.

There are four stages in this process:

1. Acquiring, cleaning and inputting the raw data. This is a manual process.

2. Downloading the software.

3. Sorting and formatting the data. There are two steps in this stage –
(a) formatting for inclusion in the current annual gallery article (AGF).
(b) update of the all-time summary and leaderboards (ATL).

These two parts can be performed in one session or as two separate operations. This process is
almost totally automated using subroutines written in VBA for Excel, requiring only minimal
manual intervention.

4. Publishing the results
(a) Inserting the AGF formatted data into a Geograph article and dividing it into pages.
(b) Uploading the ATL (updated all-time summary and leaderboards) to the Geograph media
repository and linking them to the PA (parent article), together with further editing. These
are manual operations.
